Job description

The Office Manager oversees day-to-day office operations, ensures smooth business workflows, and manages client accounts to maintain satisfaction and business growth. This role combines administrative expertise with strong interpersonal and organizational skills to support the company's success. This role is also responsible for overseeing and supporting HR functions once interviews have been completed. This role ensures compliance with labor laws, promotes a positive workplace culture, and provides administrative and strategic support across all areas of human resources.

Office Manager is responsible for: ( These duties are not just limited to the above; they will also include any area where Miller Creek needs assistance.)

Administrative

  • Answering phone(s) / emails and coordinating the distribution of all incoming communications.
  • Provide general administrative and clerical support to ensure efficient office operations.
  • Type, proofread, and edit Standard Operating Procedure documents as needed.
  • Obtain and process all Subcontractor compliance.
  • Client correspondences; incoming and outgoing.
  • Invoice services and reconcile past due accounts.
  • Maintain neat and organized office operations throughout all offices.
  • Monitor and enforce employee Jobber tasks including job notes and photos.
  • Manage all aspects of Accounts Receivable.
  • Manage all aspects of Accounts Payable.

Staffing

  • Coordinating hiring decisions and making job offers.
  • Facilitate onboarding and orientation programs for new hires.
  • Oversee, administer, track & develop employee training and development programs.
  • Manage employee separations, including exit interviews and terminations.

Employee Relations & Records

  • Serve as the main point of contact for employee questions, concerns, and HR-related inquiries.
  • Maintain employee records (digital and physical), ensuring accuracy and compliance with regulations.
  • Create, update, and implement HR policies and procedures.
  • Promote a positive and inclusive workplace culture.
  • Support conflict resolution and disciplinary actions.

Compensation & Benefits

  • Administer payroll on schedule, ensuring accuracy.
  • Manage employee benefits including health insurance, retirement plans, and leave programs.
  • Track employee hours, attendance, and PTO balances.

Compliance & Documentation

  • Ensure compliance with state and federal labor laws and workplace safety requirements.
  • Schedule and host team safety meetings
  • Document HR processes, maintain scanned documents, and handle sensitive information securely.
  • Support audits and reporting requirements.

Performance & Development

  • Develop training procedures and maintain training documentation.
  • Track and report on KPIs related to employee performance, retention, and HR effectiveness.

Additional Duties

  • Attend company meetings and events.
  • Organize and execute company events.
  • Coordinate employee recognition and engagement programs.
