Office Administration & Support Specialist

Location : Warsaw (Bonifraterska 17)
We are looking for a highly organised Office Administration & Support Specialist to serve as the operational backbone of our Warsaw office. In this role, you will be the first point of contact for employees, handling daily office operations, basic HR administration, vendor coordination, first-line workplace IT support, and internal event management.
Key responsibilities
Office and Employee Support
- Maintain a well-organised, efficient, and employee-friendly workplace in Warsaw.
- Act as the first point of contact for employee requests regarding desk space, supplies, and office access.
- Fully support the organisation, setup, and practical logistics of internal initatives, meetings and company events.
- Collect and organise operational documents, including invoices, contracts, and vendor records.
HR Administration
- Coordinate office-side onboarding and offboarding (desk readiness, equipment handover, access setup).
- Provide administrative support to the HR team (collecting documents, updating records).
- Facilitate communication between employees, HR, and Finance.
First-Line Tech & Access Support
- Provide basic troubleshooting for office equipment (printers, meeting-room devices, Wi-Fi, and screens).
- Manage basic user access and updates for internal tools (Google Workspace, Slack, Robin, Wi-Tch, Bitdefender).
- Escalate complex technical, facility, or network issues to internal teams or external vendors.
Requirements
- Top organisational skills: you are naturally structured, methodical, and pay great attention to detail.
- Fluency in Polish and English: necessary for daily cooperation with our teams.
- Basic tech skills: ability to set up a meeting room screen, connect devices, or handle simple Wi-Fi or printer troubleshooting.
- Good multitasking: capability to handle office supplies, incoming packages, and basic documentation accurately.
- Strong communication skills: a helpful, proactive, and cooperative approach toward employees and external vendors.
- Previous experience in administration, customer service, or reception is a plus.
