Job description

Job Summary: The Stores Supervisor is responsible for overseeing the complete control, accuracy, and security of all inventory across the company's site stores. The role manages inventory receipt, issuance, storage, reconciliation, procurement coordination, and reporting while ensuring all stock movements are accurately recorded in the Zoho Inventory Management System. In addition, the Stores Supervisor leads the stores team, maintains compliance with procurement and internal control procedures, and supports efficient operations through effective inventory management, fleet support, and merchandise control. Responsibilities: Supervise the receipt, inspection, verification, and recording of all inventory deliveries, ensuring compliance with approved purchase orders and supplier documentation. Oversee stock issuance, returns, transfers, and inventory adjustments while maintaining complete traceability and accurate records in the Zoho Inventory Management System. Coordinate procurement activities by managing requisitions, purchase orders, supplier quotations, and approval workflows in accordance with company procedures. Conduct regular stock counts and month-end inventory reconciliations, investigating and resolving stock discrepancies while ensuring proper stock organization and FIFO practices. Maintain secure, clean, and well-organized stores, ensuring controlled access and safeguarding high-value inventory. Oversee workshop and fleet records by maintaining job cards, vehicle maintenance histories, fuel logs, and odometer records. Monitor and control the issuance of fuel, balloon gas, and other operational consumables, ensuring proper authorization and accurate documentation. Manage merchandise sales records, cash reconciliations, reporting, and weekly cash deposits to ensure accountability and accurate financial records. Supervise, train, and guide Stores Assistants while allocating daily tasks and ensuring adherence to inventory management procedures. Ensure compliance with company procurement, inventory, financial control, and audit requirements by maintaining accurate documentation and complete audit trails. Perform any other duties assigned by senior management to support operational efficiency. Requirements Diploma or Bachelor's Degree in Accounting, Finance, or a related field. At least 1 year of experience in stores management, inventory control, accounting, or a related role. Experience using inventory management systems (preferably Zoho Inventory), accounting software, and Microsoft Excel. Strong knowledge of inventory control, procurement processes, and stock reconciliation. Excellent leadership, organizational, and supervisory skills. High attention to detail with strong analytical and problem-solving abilities. High level of integrity, accountability, and professionalism. Good communication and interpersonal skills with the ability to lead and coordinate a stores team effectively
