Job description
Job Summary: We are seeking a highly organized, proactive, and professional Executive Administrator / Office Manager to support senior management and oversee the smooth day-to-day administration of our business operations. The ideal candidate will be capable of managing multiple priorities, maintaining high standards of professionalism, and acting as a central point of coordination across departments. Responsibilities: Provide executive support to senior management, including calendar management, meeting coordination, travel arrangements, and correspondence. Manage office administration and ensure efficient day-to-day operations. Coordinate internal communications and follow up on action items with various departments. Assist with sales administration, including proposal preparation, CRM updates, client follow-ups, and reporting. Support HR administration, including employee records, onboarding coordination, leave tracking, and general staff administration. Prepare reports, presentations, meeting minutes, and business documents. Liaise with clients, suppliers, service providers, and visitors in a professional manner. Monitor office supplies, service contracts, and administrative budgets. Maintain organized digital and physical filing systems. Assist management with special projects and business initiatives as required Requirements Minimum 5 years of experience in executive administration, office management, or a similar role. Excellent written and spoken English. Strong organizational, planning, and multitasking abilities. High level of professionalism, discretion, and confidentiality. Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook). Experience using CRM systems and cloud-based business applications. Strong interpersonal and customer service skills. Ability to work independently and take initiative. Bachelor's degree or equivalent professional experience preferred. Preferred Experience Experience supporting directors, executives, or senior management. Exposure to sales administration, customer service, and HR administration. Experience working in a professional services, coworking, hospitality, media, or corporate environment
