Job Summary

We are seeking a highly organized and detail-oriented Office Administrator to join our team in Pietermaritzburg. The Office Administrator will be responsible for managing the daily operations of our office, ensuring efficiency and effectiveness in all administrative tasks.

Key Responsibilities

  • Manage the daily administrative tasks of the office, including answering phone calls, responding to emails, and handling mail
  • Maintain office supplies and equipment, ensuring they are well-stocked and in good working condition
  • Prepare and maintain documents, reports, and presentations as required
  • Schedule and coordinate meetings, appointments, and travel arrangements for the team
  • Assist with recruitment and onboarding processes, including posting job ads, scheduling interviews, and preparing new hire paperwork
  • Maintain accurate records and databases, ensuring data integrity and confidentiality
  • Coordinate with other departments to ensure smooth communication and collaboration
  • Assist with budgeting and expense tracking
  • Handle general office maintenance and liaise with building management as needed
  • Provide support to the team as needed, including preparing meeting materials and organizing events

Requirements

  • High school diploma or equivalent; additional qualifications in office administration or related field is a plus
  • Proven experience as an office administrator or in a similar role
  • Excellent organizational and time management skills
  • Strong attention to detail and ability to multitask
  • Proficient in Microsoft Office and other basic computer skills
  • Excellent communication and interpersonal skills
  • Ability to work independently and as part of a team
  • Knowledge of office management systems and procedures
  • Familiarity with basic accounting principles is a plus
